Lead Pipeline

The Lead Pipeline gives you a bird’s-eye view of all your leads. Instead of a long list, you see how many leads are at each stage and who on your team is working on them.

Head to CRM → Lead Pipeline in your dashboard to open it.

Which leads are counted

The Lead Pipeline counts your active leads, no matter when they were created.

Leads you’ve already converted to a contact are archived, so they no longer appear here. Once someone becomes a contact, you’ll find them in the Contact Pipeline instead.

The four stages

Every lead is in one of the four Lead Lifecycle stages. They’re the same stages you see when you open a lead:

  1. Discovered: a new lead found by your Assistant or another source
  2. Contacted: you’ve reached out or started a conversation
  3. Responded: the lead replied and you’re talking
  4. Close Loop & Qualify: the lead is vetted and ready to become a contact

To move a lead to another stage, open it from the Leads page. The pipeline updates to match.

Lead pipeline summary

The first card shows one box per stage, numbered Step 1 to Step 4. Each box shows:

  • How many leads are at that stage right now
  • A short description of the stage
  • Share of leads: the percentage of all your active leads sitting at that stage

In the top-right corner of the card you’ll see how many of your leads are qualified. For example, “12 of 80 leads ready for handoff” means 12 leads have reached Close Loop & Qualify and are ready to be converted into contacts.

Look for the stage where leads pile up. If lots of leads are Contacted but few have Responded, your first messages might need a fresh approach.

Workload by team member

The second card, Assigned workload by stage, has one row for each person on your team. Each row shows:

  • How many of their leads are at each of the four stages
  • Qualify share: the percentage of their leads that have reached Close Loop & Qualify

This makes it easy to see who has a full plate, who is qualifying leads quickly, and who might need a hand.

If some leads don’t have an owner yet, they’re grouped in an extra Unassigned row, so the rows always add up to the totals in the summary. To give these leads an owner, open them from the Leads page and pick a teammate.

Click View all leads to jump to the Leads page.

Refresh and export

  • Refresh reloads the numbers, so you see changes your team has made since you opened the page.
  • Export report downloads an Excel file with one row per team member (their stage counts and qualify share) and a Total row at the bottom. It’s handy for team meetings or keeping a monthly record.

Who sees what

  • Account owners and admins see every lead in the business and a row for every team member.
  • Teammates see the leads they own, plus any unassigned leads they created.

Mine and My Team

If a teammate belongs to a team that Shares Leads (see Sharing leads with a team), a Mine / My Team switch appears at the top of the page:

  • Mine shows only their own leads.
  • My Team shows the leads owned by everyone in their team, with a row for each team member.

Assistloft remembers your choice. The same switch also controls the CRM dashboard, the other pipeline pages, and Follow-ups, so you don’t have to set it again on each page.
